PRIVATE LABEL · RFQ CHECKLIST
Organic apparel manufacturer for private label: an RFQ checklist for fashion brands
A request for quotation is most useful when it describes a real product programme instead of asking for a generic price. For private-label organic apparel, the RFQ should let a manufacturer understand the garment, material direction, brand requirements and decisions still open for review.
Begin with the commercial and product context
State the brand, target customer, destination market, launch context and the product category you want to develop. Then list the styles, colourways, sizes and target quantities by variation where they are known. This tells the manufacturer what needs to be assessed without implying that one price, minimum or timing rule applies to every project.
A focused RFQ is also easier for the buyer to compare. It lets each response address the same product assumptions rather than a different interpretation of a short email.
Attach a brief the development team can use
The strongest attachment is a tech pack with sketches, measurements, construction notes and component references. A reference sample can help, provided you also describe what should stay the same and what needs to change.
For knitwear and jersey, add fabric composition direction, target weight where known, desired feel, stretch requirements, colours, print or embroidery information and wash expectations. These details shape sampling and sourcing discussions.
Include private-label components from the start
Private label means the branded product is planned as a complete system. Specify neck, care and size labels; hangtags; barcode labels; packaging; artwork files; placement; and the buyer's destination-market requirements.
Review these components on the sample where possible. They affect both the finished product and the accuracy of customer-facing information, so they should not be treated as an afterthought.
Ask for evidence before making material claims
If your collection is positioned around organic cotton or another material attribute, explain the wording you intend to use. Ask which order-specific documentation can be confirmed for the selected materials and supply-chain scope.
This keeps the RFQ grounded in verifiable product information. It also helps the marketing team avoid a claim that goes further than the evidence available for the programme.
Close with the decisions that need a response
End the RFQ with your requested next step: technical questions, sample route, material discussion, brand component review or production-path assessment. Include your preferred contact details and any decision date that matters to the project.
